Where can I access documentation and archives of Evadoc?

The heritage that Evadoc preserves or owns can be consulted in the reading room of [lien uniquement en néerlandais] de KADOC KU-Leuven.

Do I need to make an appointment to visit the KADOC KU Leuven reading room?

The reading room[lien uniquement en néerlandais] is open to the public Monday through Thursday, continuously from 9 a.m. to 5 p.m. There are plenty of outlets for connecting laptops, and WIFI is provided. Publications may be freely consulted in the reading room. To access records, follow the request procedure [formulaire à remplir uniquement en néerlandais]. You will be notified by e-mail when it is available for consultation in the reading room.

What does a first reading room visit look like?

On your first visit, you will be asked to fill out a registration form[lien en néerlandais]. In it, you very specifically describe your research topic. This information allows the staff to help you in the best way possible. At the start of a new study, you must update this data. Once the form is signed, you are registered. You then commit to keeping a number of agreements as listed in the reading room regulations[lien en néerlandais].

Can I search the heritage for free?

Yes. Visiting the reading room and consulting the heritage is free of charge. The assistance by the reading room staff is also free of charge. The fee for making copies or having research conducted by Evadoc or KADOC KU Leuven staff is listed in the rate overview[lien en néerlandais].

Can I see online what’s in the collection?

Yes. The Evadoc collections are included in the KADOC databases. The entire collection is searchable using LIMO. If you have any questions as you prepare to visit the reading room, please contact us via the contact form [formulaire à remplir uniquement en néerlandais]. Allow at least two weeks lead time. It’s not just the depositor who has to be asked for permission; archive items must also be brought from the depository to the reading room. If necessary, our staff will provide you with further information during your visit to the reading room. Do I need to request library materials in advance?

Books, magazines, annual reports, conference proceedings, etc., can be requested and consulted immediately in the reading room. Items from the library collection can be reserved for three weeks. You can search the library collection via LIMO.

Do I need to request audiovisual materials in advance?

Yes. To consult photos, albums, posters, flags, audiotapes, films, and so on, please make an appointment in advance through the KADOC-KU Leuven Reading Room. This is because not all audiovisual pieces are described in the catalogs. Often they are also kept in an external depository.
Audio-visual documents can be found via LIMO et LIAS.

Can I request archival records online?

This is possible by means of a user account at LIAS. You will find the login button (also for creating a new account) at the top right. Requesting the needed documents goes through the following steps:
• Search in LIAS and place the pieces in a workbook using the left menu.
• The workbook can be saved, while your shopping cart is saved only during the browsing session.
• Order the pieces when you receive an e-mail confirming your account was created.
• Place the pieces in your shopping cart, click Order for Consultation in the left menu, and follow the indicated steps.

Why must I always request archival records in advance?

Because consultation of records always requires permission from the depositor/owner. To facilitate this, we ask you to fill out a request form [uniquement en néerlandais] online. Carefully describe your research and note the specific numbers of the files/boxes from the placement list/inventory you wish to consult. This may be decisive for the authorization to be granted by the archive’s depositor. You will be notified by e-mail when authorization has been granted, and the files are available for consultation in the reading room.

How long will it take for me to access the records?

It takes one to two weeks to access records in the reading room. Not only must the permission of the depositor/owner be obtained. The records must also be retrieved from an external depository.

Can I lend material?

Basically, no. Evadoc is a depository institution. All materials can be made available for consultation in the reading room only. Only a loan for an exhibition is negotiable, provided several conditions are met, which are listed in a contract.

Can I photocopy documents?

Yes, though, under certain conditions. Because proper heritage conservation takes priority, damage to the documents should be avoided at all costs. For this reason, some restrictive conditions are in place that you can read here [texte en néerlandais].

Can I get assistance in the reading room with my research?

You are expected to do your research, but the reading room staff is always willing to answer your questions, offer explanations and advice, and assist you further.

How do I get to the reading room?

The reading room is located at Vlamingenstraat 39, 3000 Leuven. If you travel by public transport, you can enter this address in the route planner of De Lijn, SNCB, or TEC.
For bicycles or cars, enter the parking lot using the large gate of KADOC-KU Leuven on Vlamingenstraat.

Does the reading room have a cafeteria?

Yes. Water, coffee, and tea are available in the cafeteria.
